Quick answer. An HR generalist job description works when it lists the whole range of HR tasks the person will touch, says how many employees they support and names the systems they will use. A generalist is the person who answers the pay question in the morning and schedules interviews in the afternoon. The template below shows that mix and leaves pay, headcount and tools in brackets.

§02 Make it yours

Three decisions that make this posting specific to you.

Show the mix of HR work

Say roughly how the week splits, for example half hiring and onboarding, a quarter employee questions and a quarter records and reports. Candidates who prefer recruiting or benefits will see whether the job fits.

State who they back up and who backs them up

A solo generalist has no one to ask. A generalist on a team has an HR manager nearby. Say which it is, and name the outside help available such as [HR consultant, broker or attorney].

Be clear about employee relations

Some generalists only take questions. Others run investigations and terminations. Say which parts of that work this person owns.

§03 Levels

How the HR generalist posting changes by level.

Adjust the template for the level you are hiring. These are common patterns, so match them to how your own team defines each level.

LevelCommon titlesWhat changes in the posting
EntryHR Assistant, HR CoordinatorHandles scheduling, paperwork and data entry, and answers simple questions. A manager makes the decisions.
MidHR Generalist, Human Resources GeneralistCovers hiring, onboarding, benefits, leave and routine employee relations with some independence.
SeniorSenior HR Generalist, HR Business Partner, HR ManagerAdvises managers on harder cases, leads projects such as a benefits change and trains junior staff.

§04 Mistakes

Mistakes to cut from an HR generalist posting.

Calling it generalist and meaning one task

If the real job is payroll entry or recruiting, call it that. A candidate who wants variety will be disappointed by a narrow job.

Skipping the employee relations expectation

A generalist will get the awkward conversations. Say how much of that work is in the job, and who helps.

Overloading the posting with systems

Name the HRIS and payroll tool you use today. A long list of tools you might add later just discourages good applicants.

§05 Questions

Frequently asked questions.

What does an HR generalist do?

An HR generalist handles a wide range of HR tasks: recruiting support, onboarding, employee questions, records, benefits and leave, and basic employee relations. The mix depends on the size of the company.

What is the difference between an HR generalist and an HR specialist?

A generalist covers many areas at a working level. A specialist goes deep in one, such as benefits, recruiting or compensation. Smaller companies usually hire generalists first.

What skills should I ask for?

Organization, clear communication, discretion and working knowledge of onboarding, pay inputs and benefits. Add the system you use so candidates can judge their fit.

Should the posting include pay?

Candidates look for it first, and some places have rules about posting pay ranges. Check the rules where you hire, and put the range in the bracketed pay field of the template.
