Accountant Job Description Template

A ready to edit accountant job description that covers the month end close, the ledger and the reports your owner or board reads. Copy it, fill in the brackets, or have HRStak draft one for your company.

Free to use. No account needed to copy the template.

Quick answer. An accountant job description works when it names the accounting system, says who owns the close and states which parts of the work stay with an outside CPA. Candidates also want to know if the job is mostly day to day bookkeeping or mostly review and reporting. The template below names those pieces and leaves pay, hours, software and any certification in brackets, because only you know them.

§02 Make it yours

Three decisions that make this posting specific to you.

Say whether you need a bookkeeper or an accountant

A bookkeeper records transactions. An accountant reviews them, closes the books and prepares statements. If most of the week is data entry and invoice coding, say so and consider a bookkeeping posting instead. If it is review, reconciliation and reporting, keep this title.

Name the system and the close deadline

Candidates know their software and will check for it. Name the accounting system, the day the close needs to finish and how many entities or bank accounts they will handle. That one line filters well.

Draw the line with your outside CPA

Many small companies hand tax returns and year end adjustments to an outside firm. Say what the accountant prepares and what the CPA firm does, so applicants know whether the role includes tax work. Use the bracket for any license or certification you want, and check what applies where you hire.

§03 Levels

How the accountant posting changes by level.

Adjust the template for the level you are hiring. These are common patterns, so match them to how your own team defines each level.

LevelCommon titlesWhat changes in the posting
EntryStaff Accountant, Junior Accountant, Accounting AssociatePosts entries, reconciles accounts and prepares schedules under review. A manager checks the close and signs off on the financial statements.
MidAccountant, Senior AccountantRuns most of the close alone, prepares the statements and works directly with the outside CPA. Spots errors and explains variances to the manager.
SeniorSenior Accountant, Accounting Manager, Assistant ControllerOwns the close and the reconciliation process, reviews other people's work and supports audits, budgets and process improvements. May supervise one or two staff.

§04 Mistakes

Mistakes to cut from an accountant posting.

Asking for a CPA by habit

A CPA can matter for a role that signs filings or leads an audit. For a role that closes the books and prepares statements, many strong candidates do not hold one. Decide what the work needs, and use the bracket for any license or certification you require.

Leaving the software out

Accountants move between QuickBooks, NetSuite, Xero and other systems, and the learning curve differs. A posting that names no system draws applicants who may need weeks to get up to speed.

Listing every finance task

Accounts payable, payroll, tax, budgeting and audit support in one posting describes three jobs. Keep the duties that fill most of the week and hand the rest to someone else or an outside firm.

§05 Questions

Frequently asked questions.

What does an accountant do?

An accountant records and reviews a company's financial activity, reconciles accounts, closes the books each month and prepares financial statements. In a small company the role often supports tax filings and works with an outside CPA.

What is the difference between an accountant and a bookkeeper?

A bookkeeper records day to day transactions such as invoices, bills and bank entries. An accountant reviews that work, makes adjusting entries, closes the period and prepares reports. Some small companies combine both in one role.

What skills should I ask for in an accountant?

Reconciliation, month end close experience, spreadsheet skill and careful attention to detail. Add the accounting system you use, and add any certification or license you want in the bracketed field of the template.

Does an accountant need to be a CPA?

It depends on the work. Roles that sign returns or lead audits may call for one. Many roles that close the books and prepare statements do not. Decide what your job needs and check what applies where you hire.

Should the posting include pay?

Candidates look for it first, and some places have rules about posting pay ranges. Check the rules where you hire, and put the range in the bracketed pay field of the template.
