AI HR Assistant Pricing in 2026: What You Actually Pay

Last updated: October 12, 2026 · 5 vendor pricing pages read on October 12, 2026 · HRStak is one of the products compared

TL;DR: AI HR assistant pricing comes in four shapes, and the shape matters more than the sticker. A general assistant is priced per seat: ChatGPT Business is $25 per user a month billed monthly or $20 billed annually, with a two seat minimum. An assistant inside your office suite is priced per seat on top of a license: the Microsoft 365 Copilot Business add-on starts at $18 per user a month paid yearly. An assistant inside an HR system is priced per employee: BambooHR's AI Assistant comes with Core at $10 per employee a month, and policy and handbook answers need Pro at $17. Dedicated employee assistants such as Leena AI quote a per-employee license. HRStak is priced flat: $249, $599, or $999 a month with no per-employee fee, and HR policy answers from your own documents start on the $599 Workspace plan. All prices read October 12, 2026.

How much does an AI HR assistant cost?

An AI HR assistant costs anywhere from $18 to $25 a seat a month for a general assistant (ChatGPT Business bills a two seat minimum, so $40 a month at the least) to several thousand dollars a month for an assistant every employee can ask, and HRStak's own plans sit at $249, $599, and $999 a month flat. The spread is that wide because "AI HR assistant" covers four different products that bill on four different units.

So the first question is not "how much" but "assistant for whom". An assistant that helps one HR person draft letters is a seat. An assistant that answers 120 employees about PTO and benefits is a service to the whole company, and vendors price it against headcount or volume. Work out which one you are buying and the price range shrinks fast.

HRStak, an AI workspace for HR teams, covers both jobs on different plans: drafting for the HR team from $249 a month, answers from your own handbook from $599, and an employee chatbot with a triage inbox at $999. It assists the people doing HR work. It does not make hiring, pay, or termination decisions.

AI HR assistant pricing compared: published prices, October 2026

Every AI HR assistant price in this HRStak table was read from the vendor's own pricing page or help center on October 12, 2026. Where a vendor publishes no number, the table says so instead of estimating one. For the full field of ten AI HR tools, including Lattice, Rippling, and Gusto, see HRStak's AI for HR software comparison.

BambooHR's Pro plan card shows $17 per employee a month, but its pricing FAQ lists $17.50 for companies with more than 25 employees. The 120 employee example below uses the FAQ rate before automatic volume discounts.

Read the table by unit first. Two products bill the HR person, one bills every employee, one quotes, and HRStak bills the plan. None of those numbers include the time your team spends setting the assistant up, which is the cost that differs most between a general chatbot and a finished HR tool.

The five ways AI HR assistants are priced

AI HR assistant vendors bill on five units, and each one moves differently as your company grows. HRStak uses the flat plan, so this list is also the honest map of where HRStak costs more and where it costs less.

  • Per user seat. You pay for each person who logs in. ChatGPT Business is $25 a seat billed monthly and Microsoft's Copilot add-on starts at $18 paid yearly. Cheap for one or two HR people, and it only grows when the HR team does. It gets expensive the moment you want every employee to use the assistant.
  • Per employee. You pay for every person on the payroll, whether or not they ever ask a question. BambooHR's AI Assistant rides on its $10, $17, and $25 per employee plans. The AI comes bundled with an HR system of record, so this is the right unit if you are buying the HRIS anyway.
  • Flat plan. One price whatever the headcount. HRStak is $249, $599, or $999 a month at 20 employees or 200. The limits sit in the plan instead: seats, AI generations, and answers per month.
  • Usage, credits, or tokens. You pay for the work done. OpenAI sells workspace credits for ChatGPT Business usage beyond the included limits, and Leena AI bills its autonomous AI Colleagues as a platform fee plus tokens. Fair in principle, hard to forecast in month one.
  • Quote only. No number on the page. Leena AI prices its employee assistant per employee per year after a short questionnaire. You cannot compare a quote-only vendor until sales replies, so keep a published price as your anchor.

What an AI HR assistant costs at your size: three worked examples

AI HR assistant pricing only becomes a budget once you multiply it by your own seats or headcount. This HRStak arithmetic uses the published prices read October 12, 2026, before discounts. The BambooHR example uses its pricing FAQ rate for companies with more than 25 employees.

ScenarioPer seat optionPer employee optionHRStak
One HR person drafting letters, job descriptions, and policiesChatGPT Business, 2 seat minimum: $50 a month monthly, $40 annuallyNot the right unit for one personEssentials, $249 a month
Three HR users answering policy questions from the company handbookChatGPT Business, 3 seats: $75 a month; Business Standard with Copilot, 3 users: $70.50 a month paid yearlyNot the right unit for a three person teamWorkspace, $599 a month, 150 Knowledge Base answers
120 employees asking an assistant about PTO, leave, and benefitsChatGPT Business for all 120: $2,400 a month annually, $3,000 monthlyBambooHR Pro, 120 at $17.50: $2,100 a month before volume discounts, and it includes the HRISWorkspace Pro, $999 a month, 500 employee answers

The honest read: for one to three HR people, a general assistant is the cheaper bill by a wide margin, and HRStak is the more expensive line. What the extra money buys in HRStak is the finished HR setup: 45+ tools on Essentials, review before anything goes out, and answers grounded in your own handbook from Workspace up. With ChatGPT or Copilot, building and maintaining that setup is your team's job.

The picture flips once employees ask the questions. At 120 employees, HRStak Workspace Pro is $8.33 per employee a month and stays at $999 as you hire. The limit to check is volume: 500 employee answers a month is about 4 per employee at 120 people, so a company with heavier question traffic should price HRStak Enterprise.

AI HR assistant vs a human HR assistant: the cost comparison

A human HR assistant in the United States earned a median $24.33 an hour, or $50,610 a year, in the Bureau of Labor Statistics' May 2025 wage survey for human resources assistants (except payroll and timekeeping), an occupation of 90,220 people. That is about $4,218 a month in wages before employer payroll taxes and benefits. The most expensive self-serve HRStak plan, Workspace Pro, is $9,950 a year paid annually.

Do not read that as a replacement price. An AI HR assistant does not answer the door, sit with an upset employee, or carry an investigation. What it takes over is the drafting and the repeated questions: the fifth offer letter of the month, the PTO policy explained for the twentieth time. In practice the comparison is hours, not heads. If your HR assistant or HR generalist spends a day a week on drafting and repeat questions, that day is what an AI HR assistant is priced against.

Virtual assistant rates sit between the two and vary too much to quote as one number. One 2026 small business cost guide on this search lists "commonly cited" ranges of $4 to $15 an hour offshore and $20 to $35 an hour for US based freelancers, without naming a source, so treat those as a starting point for your own quotes rather than a benchmark.

The hidden costs in AI HR assistant pricing

The AI HR assistant price on the page is rarely the whole bill. These are the extra charges HRStak found written into the same pricing pages, its own included.

  • Seat minimums. ChatGPT Business needs at least two seats, so a one person HR team still pays for two: $50 a month billed monthly.
  • A base license underneath. Microsoft's Copilot Business add-on at $18 is sold only to companies already on an eligible Microsoft 365 Business plan. If you do not have one, the bundled Business Standard with Copilot at $23.50 is the real entry price.
  • Usage beyond the included limits. ChatGPT Business seats include baseline usage and sell workspace credits beyond it. HRStak caps AI generations at 125, 300, or 500 a month by plan. Ask every vendor what happens on the day you hit the cap.
  • The answer you want sits one tier up. BambooHR's AI Assistant answers policy and handbook questions on Pro at $17, not Core at $10. HRStak's Knowledge Base starts on Workspace at $599 and the employee chatbot on Workspace Pro at $999, so Essentials at $249 is a drafting assistant only.
  • Monthly vs annual billing. Business Standard with Copilot is $23.50 a user paid yearly and $28.20 month to month. HRStak's annual prices save $508, $1,218, or $2,038 a year by plan.
  • SSO. HRStak does not include SSO on the $249, $599, or $999 plans; it comes with Enterprise, which is quoted per rollout.

What HRStak costs as an AI HR assistant, and what it is not

HRStak is an AI workspace for HR teams, priced on the HRStak plans and pricing page as a flat monthly fee per plan with no per-employee fee, no implementation fee, and no annual contract requirement on self-serve.

  • Essentials, $249 a month. 1 HR user, 45+ tools, 125 AI generations a month, one country (United States or Canada). No Knowledge Base or employee chatbot.
  • Workspace, $599 a month. 3 HR users, 70+ tools, 300 AI generations, Internal Knowledge Base with 150 chat answers a month.
  • Workspace Pro, $999 a month. 5 HR users plus 10 managers, all 81 tools, 500 AI generations, employee chatbot and triage inbox with 500 answers a month, and coverage for the United States, Canada, the United Kingdom, and Italy.
  • What HRStak does not do. It is not an ATS, not payroll, and not an HRIS, and it has no free trial. HRStak drafts and your team reviews; hiring, pay, and termination decisions stay with people.

Before paying anything, you can test the drafting quality in HRStak's free AI job description generator, which runs without an account. The full list of HRStak's 81 HR AI tools shows what each plan produces.

Is an AI HR assistant worth the price?

An AI HR assistant is worth paying for when the same HR writing and the same employee questions come back every week, and not worth it when HR work is occasional. That test applies to HRStak as much as to any other vendor.

  • Worth it. Your HR team writes several letters, job descriptions, or policy updates a month, or the same PTO and benefits questions keep landing in someone's inbox. A per seat assistant pays for itself on drafting, and an assistant grounded in your handbook pays off on repeated questions.
  • Worth it at a different tier. You need employees to get answers without waiting for HR. That is a chatbot priced against headcount or volume, such as BambooHR Pro or HRStak Workspace Pro, not a $20 seat.
  • Not worth it yet. You hire twice a year and rewrite the handbook every other year. A general assistant seat, or HRStak's free job description generator, covers that without a $249 monthly bill.

Whatever you buy, keep a person accountable for every HR decision and read the data terms for the plan you actually pay for. OpenAI states it does not train on ChatGPT Business workspace data; ask every vendor, HRStak included, for the same in writing.

How to compare AI HR assistant pricing before you buy

AI HR assistant quotes only compare once they are on the same unit, so HRStak suggests this order.

  1. Decide who asks the questions. HR staff only, or every employee. That single choice picks the pricing unit.
  2. Convert every quote to a monthly total at your size. Seats times rate, employees times rate, or the flat plan. Then divide by headcount to compare like with like.
  3. Find the tier that actually answers from your documents. Policy answers often sit one plan above the entry price, at BambooHR and at HRStak alike.
  4. Ask about caps and overages in writing. Generations, answers, credits, or tokens per month, and the price of going over.
  5. Price the setup time. A general assistant is cheap to buy and slower to make HR ready. A finished HR tool costs more and starts working sooner.
  6. Test on a real task. Draft an actual offer letter or answer an actual policy question during the evaluation, and check it against the source document.

For how an AI assistant fits next to the records system, HRStak's per employee HR software price breakdown covers what the HRIS side of the budget costs at 10 to 200 people, and HRStak's HR chatbot guide explains what an employee-facing assistant can and cannot answer.

AI HR assistant pricing: frequently asked questions

How much does an AI HR assistant cost?
An AI HR assistant costs from $18 to $25 a seat a month for a general assistant to several thousand dollars a month for an assistant every employee can use. On pages read October 12, 2026, ChatGPT Business is $25 per user a month billed monthly or $20 billed annually, the Microsoft 365 Copilot Business add-on starts at $18 per user a month paid yearly, and BambooHR's AI Assistant comes with plans at $10 to $25 per employee a month. HRStak, an AI workspace for HR teams, is $249, $599, or $999 a month flat with no per-employee fee.
What is the cheapest AI HR assistant?
On published list prices checked October 12, 2026, the cheapest AI assistant an HR team can buy is a general seat: the Microsoft 365 Copilot Business add-on from $18 per user a month paid yearly for companies already on Microsoft 365, or ChatGPT Business at $20 per user a month billed annually with a two seat minimum. Neither ships HR templates or an employee inbox. HRStak is not the cheapest at $249 a month, but that price includes 45+ finished HR tools.
How much does a virtual HR assistant cost per month?
A human HR assistant in the United States earned a median $50,610 a year in the Bureau of Labor Statistics May 2025 survey, which is about $4,218 a month in wages before employer taxes and benefits. An AI HR assistant costs a fraction of that: $20 to $25 a seat for a general assistant, or $249 to $999 a month flat for HRStak. The AI takes over drafting and repeated questions; it does not replace the person's judgment.
What is the best paid AI assistant for HR?
It depends on who will use it. For one or two HR people drafting occasional documents, ChatGPT Business at $25 per user a month is the cheapest capable paid assistant. For teams already living in Word and Outlook, Microsoft 365 Copilot fits. For an HR team that wants finished HR tools and answers from its own handbook, HRStak Workspace at $599 a month is built for that job. None of them should make hiring or termination decisions.
Is an AI HR assistant cheaper than hiring an HR assistant?
On price, yes: HRStak Workspace Pro is $9,950 a year paid annually, against a median $50,610 a year in wages for a US human resources assistant in the BLS May 2025 survey. On the job, the two are not interchangeable. An AI HR assistant drafts and answers repeat questions, while a person handles conversations, judgment, and accountability. Most teams use the AI to free hours, not to cut the role.
Does HRStak have a free trial?
No. HRStak has no free trial and no free version of the workspace. Self-serve plans start at $249 a month for Essentials, with Workspace at $599 and Workspace Pro at $999, billed monthly or annually. HRStak's free AI job description generator runs without an account, so you can test the drafting quality before you pay.
HRStak vs ChatGPT Business: which costs less for HR?
ChatGPT Business costs less for a small HR team: three Standard seats are $75 a month billed monthly, against $599 a month for HRStak Workspace. The difference is what you build yourself. ChatGPT Business is a general assistant, and the HR templates, review step, and employee question routing are your job. HRStak ships those, with Knowledge Base answers from your own policies from $599 and an employee chatbot at $999.
